EXECUTIVE ASSISTANT TO THE CEO
Location: Lusail City, Qatar

We are seeking a highly organized and self-motivated Executive Assistant to provide exceptional support to our CEO. The ideal candidate will be a strategic thinker with strong communication and interpersonal skills, who can effectively manage a busy schedule, prioritize tasks, and ensure smooth operations in a fast-paced environment.

Operational Function:
• Maintains CEO’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel arrangements.
• Creates and maintains incoming/ outgoing documents and correspondence in English and Arabic, including communication from HIA and Qatar Airways.
• Arranges all documents for CEOs convenience.
• Arranges and prepares all the supporting and needed documents for the board meetings; distribute folders to the required board members; follow up on the board meeting minutes; arrange for all board members signatures.
• Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
• If requested, attends meetings with the CEO and takes notes of the meetings
• Organises CEO’s expenses, forms, admin records and approvals (leave, exit visa, travel expenses etc)
• Arranges the meeting room and providing necessary supplies.
• Is the first point of contact for anyone coming to visit the FMM offices.

Qualifications
• Bachelor’s Degree or Diploma in Admin/Business related field

Previous Experience:
▪ Specialist – minimum 5 years of job-related experience required
▪ Must have experienced and excellent knowledge about computer (including MS Office) and other office equipment.
▪ Must be pleasant and knows how to communicate with all kinds of nationality.
▪ Had working experience in a secretarial role a must, ideally at least three years as an Executive Assistant.

▪ Available outside working hours
▪ Flexible and willing to go the extra mile.
