Executive Assistant (Female Candidates) vacancy in Doha, Qatar

Summary Of The Position:

The Executive Administrator coordinates and provides high-quality administrative support to the executive team and office as well is responsible for following through with sales leads by cold calling potential clients. This Executive Administrator uses discretion and independent judgment in supporting the team and managing the day-to-day office operations. This position is responsible for communication, organization, maintaining complete and accurate records, and managing tasks and projects. Successful candidates will demonstrate the ability to anticipate needs, problem solve and use critical thinking and problem-solving skills, and maintain high levels of confidentiality, integrity, and customer service. Successful Executive Administrators are outgoing, have an eye for detail, and work well with a wide variety of personalities.

Job Responsibilities·  

Responsible for supporting high-level Executives and Management or entire departments.

·         Coordinate through cold calls on all sales inquiries and sales leads to ensure new sales opportunities.
·         Provide administrative, clerical support to departments or individuals and performs numerous duties.
·         Schedule meetings and arrange conference rooms.
·         Alert manager about cancellations or new meetings.
·         Manage travel and schedule.
·         Handle information requests.
·         Prepare correspondence and mail.
·         Arrange for outgoing mail and packages to be picked up.
·         Greet and receive visitors.
·         Prepare confidential and sensitive documents.
·         Coordinates office management activities.
·         Determine matters of top priority and handle accordingly.
·         Prepare the agenda for meetings.
·         Takes and transcribes dictation.
·         Plans for events and volunteer activities.
·         Maintain office procedures.
·         Operate office equipment, such as photocopy machine and scanner.
·         Coordinate committees and task forces.
·         Direct the general public to the appropriate staff member.
·         Maintain hard copy and electronic filing system.
Skills & Experience

Education: A Bachelor’s degree in a business-related discipline with one to three years’ experience in an office manager and/or administrative/executive assistant position.

• Ability to communicate effectively both verbally and in writing.

• Must have strong interpersonal skills, demonstrated confidentiality, and the ability to work as a team.

• Strong organizational and attention to detail skills.

• Must be a resourceful problem solver.

• Must have a collaborative and flexible style with a strong customer service mentality committed to lifelong learning.

• Demonstrated proficiency in computer use and data input accuracy.

• Strong proficiency in Microsoft Office applications, including MS Excel, Outlook, Word, and PowerPoint.

• Strong proficiency in social media and video conferencing platforms.
